PHMA Sleepover Booking Policy

 

Reservations & Deposits
• A non-refundable deposit of $50 is required at the time of booking to secure your group’s spot.
• Full payment is due on the day of the event. If payment is not received, the booking may be cancelled.
• Reservations should be made at least 2 weeks in advance to ensure availability.

 

Cancellations & Rescheduling
• Cancellations made 1 day or more before the event will receive a refund, minus the deposit.
• Cancellations within 24 hours of the event will result in forfeiture of the full payment.
• Rescheduling is allowed up to 7 days prior to the event, subject to availability. One complimentary reschedule is permitted.

 

Group Size & Chaperones
• Maximum group size is 30 youth and 10 adults. Smaller groups can be accommodated with prior approval.
• A minimum of two adult chaperones per group is required, and additional adults are welcome at no extra charge.
• Chaperones must remain with the group throughout the entire program, ensuring the safety and supervision of all participants.

 

Staff Availability
• Staff will be onsite from 5:30 PM to 9:30 PM for arrival and to lead activities. A flexible timeline for activities is as follows:
• 6:00 PM - Group Arrival
• 6:30 PM - Orientation and Setup
• 7:00 PM - Activity #1 in the Twine Loft
• 7:30 PM - Break, Snack, Leisure Time
• 8:00 PM - Activity #2 in the Twine Loft
• 8:30 PM - Break, Snack, Leisure Time
• 9:00 PM - Activity #3 in the Carton Loft
• 9:30 PM - Free time (beach fire, movie, snacks, etc.)
• After 9:30 PM, staff will assist with setup and address any needs before they leave. Staff will return at 10:30 AM the next morning for group departure at 11:00 AM.

 

Kitchen Access & Supplies
• Access to the kitchen with stove, oven, fridge, and sink is included.
• Plates, bowls, mugs, cutlery, and cups will be provided. Washing after use is required.
• Cooking utensils, cookware, food, juice, etc., are not provided.

 

Behaviour & Safety
• Participants must follow aquarium rules and respect all staff and animals, especially during the touch tank portion of the program.
• Any disruptive behaviour may result in early dismissal from the program without a refund.

 

Emergency Closures
• In the event of an aquarium closure or emergency (e.g., severe weather), we will reschedule your sleepover at no additional charge, subject to availability.
